Employees should submit mileage reimbursement requests for their supervisor’s approval through Workday via a Spend Authorization before traveling and an Expense Report for reimbursement after travel .
Account Payable’s Mileage Log is also required prior to initiating the expense report process in Workday. For audit purposes, employees need to specify for each trip:
- The reason for travel
- Physical address of starting and ending location(s)
The total mileage for all trips combined will be used to complete the expense report.
Workday Mileage Expense Report Guidance
- On the main dashboard, select Expenses.
- From the Actions menu, choose Create Expense Report.
- In Additional Worktags, find and select the appropriate worktag. Please ask your business manager for guidance on which worktag to select.
- In Create Expense Report under Expense Report Information, select appropriate travel type (e.g., Employee In-State Travel) in the “Business Purpose” field.
- “Expense Report Date” is date on which employee enters the information into Workday.
- Under Expense Report Line:
- Enter the date of travel for the first trip listed on the Mileage Log in the “Date” field.
- In the “Expense Item” field, select By Expense Item Group, then Travel and then Mileage-Business for 100% rate or Mileage-Personal for 50% rate.
- Enter total amount miles traveled for all trips listed on the Mileage Log in the “Quantity” field.
“Per Unit Amount” will automatically populate and “Total Amount” will automatically calculate.
